Fundraising Policy

Purpose:
The purpose of this policy is to ensure that our track team can provide the best opportunities for our athletes. Fundraising helps to cover expenses such as travel, equipment, uniforms, and event fees, which are essential for the success and growth of our team.

Fundraising Requirement:
Each athlete is required to participate in team-organized fundraising activities throughout the season. The goal for each athlete is to raise a minimum of $500. This can be achieved through multiple fundraisers that the team will organize.

Fundraiser Participation:
The track team will schedule and announce several fundraising opportunities during the season. These may include events such as:

Product sales (e.g., popcorn, candy apples)
Sponsorship drives
Local business partnerships
Raffle ticket sales
Other approved fundraising activities
Each fundraiser will be assigned a specific value that contributes towards the $500 goal. For example, if a fundraiser is expected to raise $100 per participant, that amount will be deducted from the total required. The amount raised in each event will be tracked and credited accordingly.

Athletes and their families are encouraged to actively participate in these events to meet their individual fundraising goals.

Tracking Progress:
The coaching staff and fundraising coordinator will track each athlete’s progress towards their $500 goal. Regular updates will be provided to ensure athletes and parents are aware of their current standing.

Shortfall Payment:
If the $500 fundraising goal is not met by the end of the season, the remaining balance will be billed directly to the athlete’s parent or guardian. For example, if an athlete has raised $350 through participation in various fundraisers, the parent/guardian will be billed for the remaining $150. Payment must be made within 30 days of billing.

Opt-Out Option:
Parents who prefer not to participate in fundraising activities may opt to make a direct contribution of $500 in lieu of participation. This contribution must be made at the start of the season.

Exceptions:
If there are special circumstances that prevent an athlete from participating in fundraisers, parents/guardians may appeal to the coaching staff or fundraising committee for consideration. Exceptions will be granted on a case-by-case basis.

Compliance:
Failure to meet the fundraising requirement or pay the shortfall balance will result in the athlete being ineligible to participate in future track events, practices, or other team activities until the obligation is fulfilled.
